1. Introduction

The website is used for online services related to events organized by AIIRO – Romanian Association of Building Services Engineers and/or Danube ASHRAE Chapter.

2. General Conditions for Order Cancellation

2.1.

Orders may be cancelled only before they are processed and officially confirmed by AIIRO and/or Danube ASHRAE Chapter, unless otherwise provided in this policy or required by applicable law.

2.2.

For orders that include services, event tickets, event registrations, or digital confirmations, cancellation is subject to the specific conditions described in this policy.

2.3.

The organizer may refuse the cancellation of an order if the service has already been provided, the ticket has already been used, the event has already taken place, or the order has been validated and confirmed for participation.

3. Cancellation of Event Tickets

3.1.

Users may request cancellation of event tickets at least 7 calendar days before the scheduled date of the event, unless different cancellation conditions are clearly communicated for a specific event.

3.2.

Cancellation requests submitted less than 7 calendar days before the event may be refused, unless the organizer decides otherwise or there are justified exceptional circumstances.

3.3.

After the event has started or after the participant has accessed or attended the event, cancellation and refund are generally not available.

3.4.

In exceptional justified cases, such as documented medical reasons or other circumstances accepted by the organizer, a partial or full refund may be considered at the organizer’s discretion, depending on the services already provided and the costs already incurred.

3.5.

Tickets that are transferred, resold, or used in breach of the Terms and Conditions are not eligible for cancellation or refund.

4. Cancellation of Online Orders

4.1.

Orders for tickets or event registrations may be cancelled only if they have not yet been confirmed, validated, or processed by AIIRO and/or Danube ASHRAE Chapter.

4.2.

Electronic tickets, digital confirmations, and digital event access materials are not eligible for cancellation or refund after the purchase has been confirmed, except where required by applicable law or expressly accepted by the organizer.

4.3.

If an order is cancelled and payment has already been made, the refund will be processed within a maximum of 15 business days from the confirmation of the cancellation request.

4.4.

Refunds will be made using the same payment method used for the original transaction, where technically possible, or by bank transfer to an account provided by the user.

4.5.

Bank processing times, payment processor delays, or incorrect bank details provided by the user may affect the actual date on which the refunded amount becomes available.

5. Event Postponement, Rescheduling, or Cancellation by the Organizer

5.1.

If an event is cancelled by AIIRO and/or Danube ASHRAE Chapter, participants will be informed by email, through the website, or through other official communication channels.

5.2.

In the event of cancellation by the organizer, participants may be offered, as applicable:

• a refund;
• transfer of the ticket to another event;
• participation on a rescheduled date;
• another alternative communicated by the organizer.

5.3.

If an event is postponed or rescheduled, tickets may remain valid for the new event date, unless otherwise communicated by the organizer.

5.4.

A change of event speakers, agenda, venue, format, or schedule does not automatically entitle the participant to a cancellation or refund, unless the organizer expressly provides otherwise.

6.1.

6.2.

The cancellation request must include the following information:

• order number, if available;
• participant name;
• email address used for the order;
• event name;
• payment date;
• reason for cancellation;
• any other information necessary to identify and process the order.

6.3.

The organizer may request additional information or supporting documents where necessary to review the cancellation request.

6.4.

Cancellation requests will be reviewed and confirmed by email. A cancellation is considered accepted only after written confirmation from the organizer.

6.5.

Refunds, where applicable, will be made through the same payment method used when placing the order, where technically possible.

7. Exceptions

7.1.

The following orders may not be eligible for cancellation or refund:

• tickets for events that have already taken place;
• tickets already used for event access;
• electronic tickets or digital access details already delivered and confirmed;
• registrations submitted with incomplete, incorrect, or fraudulent information;
• orders placed in breach of the website Terms and Conditions;
• orders for events where specific non-refundable conditions were clearly communicated before purchase.

The organizer reserves the right to review exceptional situations on a case-by-case basis.

8.2.

8.3.

Continued use of the website after publication of the updated policy constitutes acceptance of the updated version.
